The main reason to create Group Member Schedule Templates is to use the "Auto-Schedule" button in the Group Scheduler. The solutions below are designed to work with Auto-Scheduling and (for the most part) will not need to be maintained.

Rock Core does not ship with Group Member Schedule Templates that include 5th Sundays. If you want to use the Auto-Schedule button, this creates a challenge four times a year.

Your team members will see these schedules when they use the Schedule Toolbox to set their serving preferences.


Note - a template schedule will identify the day of the week it applies to, so name your schedules for clarity. For example, if you have a Tuesday night youth group that uses scheduling for the volunteers, create additional schedules that apply to Tuesdays. The "1st and 3rd Week" won't work for them if that schedule is assigned to Sundays.


A/B Teams


If you are trying to divide your teams up so everyone serves twice a month (and the occasional 5th Sunday), the natural way is to use the even and odd weeks to group people together. However, this might be one of those rare occasions where your team needs to conform to Rock instead of Rock conforming to the team. 

You must include the 5th week on the same schedule as the 4th week because you can only grab it automatically by using the "Last" option. You include both the 4th week and the Last week and most often they end up being the same, but on those 5-week months, it will break out the 5th week for you.

Step 1: Define Team Structures

  • A Team: Schedule members for the 1st and 3rd Sundays of each month.
  • B Team: Schedule members for the 2nd, 4th, and Last Sundays of each month. 

Step 2: Adjust Schedule Templates

  1. Open the Group Member Schedule Templates settings in Rock. (see screenshots below)
    Admin > General Settings > Group Member Schedule Templates
  2. Create or modify the existing templates:
    Template for A Team: Create or modify the schedule for the 1st and 3rd Sundays. This one is probably on the list as "1st and 3rd Week" - rename it to "1st and 3rd Sunday" for clarity.
    Template for B Team: Create the schedule for the 2nd, 4th, and 5th Sundays.

Every other Week

This one is fairly straightforward. It automatically captures the 5th week by simply alternating every other week.  There is a template included in core and I would recommend renaming it to identify the day of the week it applies to.


5th Week Only

This is the only schedule that requires a minimal amount of maintenance. You manually add each date to the list. When you edit the schedule, select the Occurrence Pattern: "Specific Dates". Click the Add Date button to add more dates.  The image below is an example.
Make yourself a calendar appointment to remember to add more dates in the future - invite others on your team who will be impacted by this to make sure it gets done.
