2 questions regarding Check-in

We are newer to actually using our check-in system and have noticed a few quirks.  Not sure if this is normal or not.

1- We had someone register their child for an event and they used their full name (William vs Will). The system already had him in his family as Will since that is what they always put on everything and their registration card.  Rock made another person in their family "William" and on Sunday, both "William" and "Will" were in her family.  When I came in on Monday and ran my pending people report, I found the duplicate and merged the files.  Since "William" was pending, why did he show up in their family? I thought we had it set up to where only active people, Attendees, Visitors, and Members could check in?  I have "prevent Inactive People" checked but that doesn't seem to solve the "Pending" people?

2- We have our preschool set up as by age 2-5.999999 years old and Elementary by grade.  We have a few kids that are 5 and in Kindergarten.  Each week it gives them the option to check in to either our preschool area or the elementary area.  We would like the grade to override the age.  Like if they have a grade it ignores their age.  Is there a way to do that?

    As to your first question, "inactive" refers to the record status, not connection status, so anyone with a record status other than inactive can check in. I don't believe there's any out-of-the-box way to change that behavior. Hopefully that answers your question.

    The grade and age choice can be resolved in v8 by installing the "Filter by Age and Grade" workflow action in the check-in workflow (it has a setting to prioritize grade). On my church's system I added the action after the "Filter Groups by Grade" action in the "Person Search" activity.

      I don't think the check-in workflow changes often, so I think you're safe, but it would be a good thing to watch out for.


      There are other ways around the 5/K issue, but nothing easy. Happy to share if you'd like more information.

        I am having trouble with updating the workflow, it keeps timing out. I am going to pause working on that for now and go get lunch. Maybe when I get back, it'll work. 🤞🏻
