Person & Family Analytics - Person & Family Field Guide
An important role for leaders is to care for and support the people who engage with their organization. As an organization grows this can become a difficult task as you may lose track of many of the details that make your larger organization feel small. Rock’s person and family analytics tools help summarize all these details and provide predictive alerts when certain key behaviors change. These tools provide a very clear picture of a family’s involvement. As you’ll see, this opens the door to some incredible opportunities for your organization. It can also, if not guarded, be somewhat creepy. Most tools in life can be used as a weapon (think of a hammer). Badges - Person & Family Field Guide
Badges are one of Rock’s most exciting features. As you add more and more information into Rock, you can quickly become overwhelmed with the amount of data you collect on a person. Badges allow you to summarize key points of information in a graphical way. This allows you to quickly scan the page and familiarize yourself with the individual. Badges come in two forms: an iconic badge that shows in the Badges block and a label badge that shows in the Person Bio area. While they look very different, they share the same configuration and settings. Note There may be some confusion about when to add a label to the Person Bio area and when to add a new badge. We suggest that if you're categorizing a person into general groups that you use a label in the bio section. If you're describing a person’s activity or achievements, then consider a new badge. Let’s look at the badges that come pre-configured and the steps to add your own new badges. Pre-configured Badge Types Rock comes with several badge types pre-configured and ready for you to use. SMS in Detail - Communicating With Rock
Before you can start using the SMS features Rock has to offer, you need to set up a phone number. This chapter provides the information you’ll need to get started. Boosting Engagement with SMS In the modern era, SMS messaging has become the predominant means of communication, surpassing phone calls and emails in popularity. SMS messages are typically read promptly and are more likely to elicit swift responses. However, it is not permissible for any organization to send an SMS message to an individual unless the recipient has explicitly given their consent by opting in. As a result, Rock has incorporated an SMS Opt-in Checkbox in most areas where mobile phone numbers can be entered. Furthermore, we recognize that every organization is unique and may have distinct legal requirements. Therefore, the verbiage for the SMS Opt-in checkbox can be completely customized to meet your specific needs. You can customize the SMS Opt-in message at Admin Tools System Settings System Configuration under the UI Settings Tab. Add SMS Phone Number You need to have a phone number before you can start sending and receiving texts. We recommend Twilio, and have a whole section for setting up Twilio in a later chapter. Even if you don’t have a phone number set up yet, it’s important to be familiar with the System Phone Number settings because they are referenced later in this chapter. Check-In Manager - Checking-out Check-in
It's critical for growing organizations to be able to view check-in data in real-time and react by opening and closing locations in response. Rock provides a check-in management site that gives your staff a dashboard of live check-in data and lets them respond to needs as they occur in real-time. The Phases of Check-in The check-in process doesn’t necessarily end when someone finishes checking in. Depending on your settings there are different phases of check-in. A person can be Checked-in, Present or Checked-out. Later in this chapter you’ll see how this all gets configured and managed within the Check-in Manager. For now, it’s only important to be aware of the different states a person can be in. Checked-in When a person finishes the check-in process, they will appear as Checked-in on the roster. What can happen next depends on your configuration. If you don’t have check-out or presence enabled in your Check-in configuration settings then the other states described below don’t apply. The person will be marked as Present (see below) unless the Check-in Manager is used to Delete their check-in attendance entirely. CMS Configuration - Rock Admin Hero Guide
Rock is built on top of a very powerful Content Management System (CMS). A detailed review of Rock’s CMS tools is outside the scope of this guide, but we do want to provide you with a high-level overview of these settings. For full details on any of these configuration settings, check out the Designing and Building Websites Using Rock guide. CMS Settings Routes The routes section lists all the routes, or URL page names, in use for both the internal and external pages of your site. Some routes come preconfigured in Rock. The ability to edit these system routes is limited, but custom routes you create are fully editable. Sites The sites section lists your Rock websites. Rock initially comes configured with several different sites for different purposes. Below are a few: Rock Internal: The internal site used by the organization’s staff to manage people, groups and the system in general. External Website: The primary portal for those outside the organization. Check-in: The site that's used for the check-in system. You can add as many sites as you wish. For instance, the site that Spark Development Network uses to manage Rock has all of the sites above plus two additional ones. One hosts the Spark site (sparkdevnetwork.org) and the other hosts the Rock site (rockrms.com). Cache Tags - Designing and Building Websites Using Rock
When updating content, you’ll sometimes want your Rock site to instantly reflect the changes you’ve made. To meet this need, Rock provides multiple ways to clear a cache. You can clear the cache of all objects using the global “Clear Cache” button, or you can clear a group of cached objects using cache tags. By using cache tags, you can precisely control what objects are removed from cache; without the performance penalty of completely clearing cache. Adding Cache Tags To add a cache tag, go to Admin Tools CMS Configuration Cache Manager. On the left column you can see any currently added cache tags. To add new tags, click the button at the bottom of the grid. Add New Cache Tag When adding a cache tag, the tag name should be as short and descriptive as possible. We highly recommend using the Description field to describe the purpose of the cache tag in detail. You’ll want to be careful, as cache tags cannot be removed or modified. Also, keep in mind that tag names must be all lowercase without any spaces. Using Cache Tags After adding cache tags, blocks with caching enabled will have an additional attribute of “Cache Tags” populated with the tags you've added. Open the block settings of a page in your external Rock site and click the button. The cache tags created in the Cache Manager are displayed. Getting Started - Universal Search
Ready… set… let's get started! (Note: if you choose to use Elasticsearch, it will need to be installed before continuing.) Enable a Search Provider First, we'll need to tell Rock which search provider we'd like to use and provide the configuration details needed to connect. We do this under Admin Tools System Settings Universal Search Index Components. Provider Component List Next, select the provider type you'd like to enable. If you choose Lucene as your search engine, Rock displays the following configuration window. Lucene If you choose Elasticsearch, Rock displays the following configuration window. Elasticsearch Enabling Entities for Universal Search Now that we have a provider configured, we're ready to enable entities to be indexed. To do this, navigate to Admin Tools General Settings Universal Search Control Panel. Universal Search Control Panel At the top of this page, you'll see a few details about the provider you selected. Below you'll find a list of the entities that are able to be indexed. To enable a new entity type, click the row of the entity and select Enable Indexing on the dialog that pops up. This entity is now enabled for Universal Search and a request has been queued to bulk index this entity.
