Workflows are a powerful way to get the most out of Rock RMS.  Often a workflow is assigned to a worker who is responsible to take some action to allow the workflow to continue.  Some workflows, such as Call To Actions (CTA), should be assigned to different workers depending upon their topic.  A workflow can be implemented with multiple conditional actions to set the worker based upon the topic selected.  However, whenever topics change, or staff have new roles, the workflow may need to be updated to reflect these changes.  A better approach is to associated the workflow with a group that uses group member attributes to associate who is responsible for what topic.  This allows the group leader to provide the topic assignments without having to update the workflow.

The following recipe will configure the CTA Contact Us based upon the values taken from an associated group.

Prerequisite

Group Type: Call To Action

Create a group type named Call To Action that will be used to define the group responsible for handling the CTA Contact Us requests.  The group type should be configured as follows:

Group Configuration

  • Attributes
    • Topics
        • Type: Text
        • Description: This attribute will be used to define the set of topics supported by the workflow.

    Member Configuration

    • Roles
      • Leader
      • Member
    • Attributes
      • Topic (text)
        • Type: Text
        • Description: The topic the group member is responsible for.  This will be used to determine the worker to assign based upon topic.

    Group: CTA Contact Us

Create  a group named CTA Contact Us using the group type Call to Action.  This group will be used to configure how the call to action "contact us" engagement is managed.  The workflow will use the group's Topics attribute to define the set of topic categories and determine who is the owner of a topic based upon the group member attribute Topic.

Note: if a topic category is not assigned to any group member, the group leader will default as the topic owner.

    Group Definition

The group attribute Topics is used to configure the set of topic categories that will be displayed in the workflow form.  The syntax for this field uses a CSV format of key-value pair

Join^Join the Church,Baptism^Baptism,Serve^I would like to Serve

The Key is used by the workflow to identify which group member will be assigned the workflow request.

The Value is used within the workflow form as the list of topic categories.
