Description: 

This process helps us support a multi-day event or an event where we need to know who is attending from specific family members.   While we do utilize the Group RSVP, we wanted something with a little more functionality as well as all in one reporreporting .

Process

1. Determine what the criteria is for each event. (i.e. is childcare provided, food counts, theme of event, etc.)

2. Create Page for workflow form to live... this is also an opportunity to give information and style based on event theme (Next phase for us is to use more Content Channels for this information to make it more dynamic, we used Page Parameters and included them in the link. HTML/Lava to display different info based on different parameters, or if it didn’t meet the criteria, a generic version)

3. Create Group(s) to house people and add relevant attributes to display in grid

4. Create Workflow

•  Simple form to capture which day(s) and who is attending, with the option to ask additional information, such as childcare needs or food allergens.
• SQL to get Family Ids to use to provide a multi-select of family members invited to attend
• Alternate form (Person not recognized or if they aren’t in Rock)
• Nice confirmation email/ text confirming their RSVP.
• Add the attendees to Group(s)
• Populate the Group Attribute(s) as needed

5. Create Tokenized link to send out to invitees for use in either SMS/Email

6. Create Additional page - Live Counts to monitor counts, with the event totals, food counts, childcare needs, etc.

7. Monitor RSVP as they come in and order your food, plan your childcare, event accordingly :D
