Track Which Guardian Checks In a Child during Check-In

Description

When a child is checked in, Rock should record which adult brought them, not just which family's phone number or child name entered. This would be stored on the attendance record (Checked In By Person Alias Id for example) and visible to room volunteers and ministry leaders.

Details

Right now, check-in tells us a child attended. It doesn't tell us who walked them through the door. The idea is fairly straightforward:

  • During check-in, the attendant selects or confirms which adult is present
  • That person gets stored as a "Checked In By" field on the child's attendance record
  • Room volunteers can see it in Check-In Manager
  • It's reportable like any other attendance data

This could be an optional workflow step. Churches that don't need it simply don't enable it.

Ministry Needs

Most Sundays this isn't a big deal. But it only takes one situation to wish for this idea:

- Custody orders — Some families have legal restrictions on who can drop off or pick up a child. A shared phone number does nothing to document or enforce that. We've ran into situations multiple times where there are familial changes and the Parent or Guardian to contact after church service is unclear. We've made different relationship options within Rock to circumvent this, but is not optimal.

- When something goes wrong — If there's an incident, the first question staff ask is "who brought this child today?" Right now, the honest answer is "we ultimately don't know." or "we can make an educated guess based off their family in Rock"

- Unauthorized drop-offs — Anyone who knows a family's phone number can check in their child. There's no way to flag or track that today.

Why?

We ran into this at our church and started asking around and researching. We've had mentions that previous systems like CCB has this capability and we've always wondered why Rock couldn't have this. 

Rock already does so much to help us know and care for people. It just doesn't capture an essential moment in children's ministry. Which is who actually showed up with the kid. This feels like a natural fit for what Rock is already trying to do, and an optional implementation means it wouldn't affect churches that don't need it. We would love to see this get some traction.
