    Check Schedule Coverage

Sunday morning is not the time to discover the nursery has no volunteers. The Schedule Status Board gives you a bird's-eye view of every room and time, so you can see at a glance what's covered and what still needs people.

Open it at People > Group Scheduling > Group Schedule Status Board.

    • Focus the board - In the block settings, pick a parent group so only the groups you care about show up in the select list.
    • Set the date range - The Dates button opens a slider to choose how many weeks to show at once.
    • Jump to the next step - Links near the top take you straight to the Group Schedule Roster and Group Schedule Communications pages.

Each time slot shows how it is doing: a slot that still needs people displays how many more are needed, while a fully staffed slot reads as covered.

The board shows you where things stand, but it does not change assignments. Adding and removing people happens on the Group Scheduler page, where you assign individuals to a slot and remove them just as easily.

The Group Schedule Roster shows you who’s serving, plain and simple. Of course, you can see this information from other group scheduling tools, but the roster provides a clean, simplified view of volunteers and where they’re scheduled. This layout is great for printing, to give your staff a paper copy they can use to track volunteers. It even comes pre-populated with checkboxes next to each person’s name, so individuals can be marked off the printed list.

To access the roster, navigate to People > Group Scheduling > Group Schedule Roster.

You can click the ti ti-settings icon to access the configuration for the roster. These settings let you add or remove the groups, locations and schedules shown on the roster. This way you can rapidly print several different rosters for the day. This is also where you change the date of the roster, to view assignments on different dates.

By default, the roster is updated automatically every 10 seconds, to pick up scheduling changes as they occur. After all, you don’t want to print outdated rosters, and last-minute changes are always a risk. This “Live Update” feature can be disabled, or set to a different refresh frequency, by accessing the block’s settings. Just keep in mind that a very frequent refresh rate may negatively impact performance.
